BWC to Replace Claims and Policy Management Systems

The Ohio Bureau of Workers’ Compensation (BWC) has been reporting in their monthly Provider ENews publication about modernizing their operations and improving customer service. To achieve these goals, BWC will be replacing their claims and policy management systems in November 2016.

The transition to the new systems will occur over Veterans Day weekend, November 10 – 14. Beginning the afternoon of Thursday, November 10, many BWC systems, including web and call center services will be unavailable. In addition, some employer-related systems will have limited functionality beginning as early as 5:00 p.m. on Wednesday, November 9.

Since the majority of the shutdown will occur over a three-day holiday weekend, BWC expects it will have minimal impact on their customers, partners and staff. There will be a recorded message about the outage on BWC’s toll-free call center phone line. In addition, their website, www.bwc.ohio.gov will display a static page of information explaining the outage.

BWC anticipates that normal operations will resume on Tuesday, November 15. However, some users may experience slower-than-usual service that Tuesday, as BWC finalizes the conversion process.

BWC encourages employers to review deadlines and complete any time-sensitive transactions in advance of the transition. In addition, BWC will work with you to ensure this transition is as seamless as possible.

What is the impact on CareWorks and our customers?

This temporary outage will disable everyone’s ability to access claims information on BWC’s website. It will also affect CareWorks’ ability to send and receive new claims information from BWC.

This means that claim numbers will not be assigned as quickly as normal as we wait for BWC to work through their implementation timeline.

CareWorks will be open and operational as normal during this time. However, our associates will not be able to access BWC systems to learn of upcoming hearings and any other documentation normally maintained within BWC’s website. While there will be some informational constraints due to BWC outages, CareWorks will continue to provide proactive medical management as well as timely responses to all inquiries and requests.
